Terms & Conditions
Effective Date: 17 September 2026 · Last Updated: 17 September 2026
1. About These Terms
These Terms apply to Prestbury Girls Academy membership, football activities and associated Academy digital and administrative services.
Specific services may have additional terms. In particular, Academy tours may be subject to Tour Booking Terms and fundraising campaigns, raffles, events or competitions may have separate campaign or event rules. Where specific terms apply, they take precedence for that service.
2. Definitions
- Academy – Prestbury Girls Academy
- Player – a registered or trial participant
- Parent/Carer – a person responsible for a child participant where applicable
- Services – coaching, training, fixtures, competitions, player development, S&C, performance analysis, medical/physio support, communications, registration, membership administration, travel, tours, fundraising and online member services where applicable
- Academy Digital Services – prestburyacademy.co.uk, prestburygirls.co.uk, prestburytour.co.uk, prestbury.app and associated Academy portals and applications
3. Registration, Trials and Membership
- Trial participation does not guarantee selection or membership
- Players and parents/carers must provide accurate registration, contact and medical information and keep it reasonably up to date
- Membership may be conditional on completion of required forms, payment arrangements and football registration requirements
- Selection, squad and development decisions are made by authorised Academy staff using football and welfare considerations appropriate to the age group
Where a decision can reasonably be reviewed under an Academy review or complaints process, these Terms do not prevent that review.
4. Fees and Payments
Membership and service fees are communicated separately and may include registration, coaching, facilities, league/competition costs, kit or other agreed services.
- Payments must be made in accordance with the agreed schedule
- If payment is overdue, the Academy may contact the payer, agree a reasonable arrangement, restrict optional services or, where necessary and proportionate, suspend participation
- Any administration charge must be reasonable and proportionate to the administration actually required
5. Cancellations and Refunds
Fees are not automatically non-refundable in every circumstance. Refunds, credits or amounts retained will depend on the service, timing, costs already incurred, costs that can reasonably be avoided or recovered, any applicable specific terms and the individual's statutory rights.
Where a player leaves during a membership period, the Academy may take account of committed season costs and services already provided. We will not seek to retain more than is reasonable in the circumstances.
Tours, ticketed events and fundraising activities may have their own cancellation/refund terms.
6. Training, Matches and Attendance
- Players are expected to attend regularly and communicate absences where reasonably possible
- Training, matches or venues may change due to weather, safety, facility, competition or operational requirements
- Playing time and match selection may vary according to development needs, attendance, attitude, welfare, position, opposition, competition rules and team requirements
- Football carries inherent physical risks. The Academy takes reasonable steps to provide an appropriate environment but cannot remove all sporting risk
7. Health, Medical Support and Return to Play
Parents/carers and players must provide relevant health information that may reasonably affect safe participation and must notify the Academy of material changes.
- The Academy may provide injury reporting, physiotherapy, rehabilitation, S&C support and return-to-play processes
- Internal medical/physio support does not replace emergency care, a GP or other appropriate healthcare professional
- The Academy may restrict participation where there is a reasonable safety or welfare concern
- Where external clinical services are recommended, the relationship and fees with the external provider are separate unless expressly stated otherwise
8. Safeguarding, Welfare and Conduct
Players, parents/carers, coaches, volunteers and visitors are expected to behave respectfully and comply with relevant safeguarding, conduct, competition and venue requirements.
- Safeguarding concerns take priority over ordinary complaints or football disagreements
- Abuse, discrimination, harassment, threatening behaviour, bullying or serious misconduct may result in restrictions or disciplinary action
- The Academy may take proportionate action to protect children, staff, volunteers and other participants while a serious concern is assessed
9. Photography, Video, Veo and Public Media
The Academy may use match and training recording for football development and may separately use approved photographs, video or match graphics for public communications.
- Recording for coaching/performance analysis does not automatically authorise public social-media publication
- Public youth lineup and match graphics use first name plus surname initial by default
- Public photography/video is subject to the Academy’s media permissions and safeguarding standards
- Veo and other recording systems are governed by our Photography, Filming & Video Recording Policy
10. Digital Services and Accounts
- Users must keep login credentials and secure links confidential
- Users must not attempt to access records, accounts or functions they are not authorised to use
- The Academy may suspend or restrict digital access where necessary for security, safeguarding, misuse investigation or account administration
- Digital services may occasionally be unavailable for maintenance, provider outages or other operational reasons
11. Tours, Transport and Fundraising
Tours, transport and fundraising may form part of Academy activity but can involve separate booking, payment, conduct, cancellation and privacy arrangements.
- Tour bookings are subject to the applicable Tour Booking Terms
- Fundraising credits are applied according to the published rules of the relevant campaign and do not automatically become cash payable to a player
- Third-party fundraising or payment services may also apply their own terms
- Transport users must follow the safety instructions and operational rules of the Academy and provider
12. Data Protection
Personal information is handled in accordance with our Privacy & Data Protection Notice and Cookie & Storage Technology Policy.
13. Complaints
Concerns should be raised as early as reasonably possible. Formal complaints, including data-protection complaints, can be submitted through our Complaints Procedure. Safeguarding concerns are handled under safeguarding procedures rather than as ordinary complaints.
14. Liability
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
The Academy is not responsible for loss or disruption caused solely by matters genuinely outside its reasonable control, but this does not remove any mandatory legal right or remedy.
15. Ending Membership or Access
Membership may end by notice, expiry, withdrawal, mutual agreement or Academy action where there is a serious conduct, safeguarding, operational or payment issue.
Any financial consequence will be assessed under the applicable payment/cancellation terms rather than by an automatic rule that all outstanding future charges are always payable.
16. Changes to These Terms
We may update these Terms where reasonably necessary. Material changes will be communicated where appropriate. The version applying to an existing paid service will not normally be changed retrospectively in a way that materially disadvantages the user unless required by law, agreed with the user or otherwise legally permitted.
17. Governing Law
These Terms are governed by the laws of England and Wales, subject to any mandatory consumer rights that apply.
